Here’s an issue we see a lot as folks migrate email to different email servers.

Most email clients will not allow you to access the same email address in 2 different ways. Therefore if you are migrating the email from another server (such as Bower Web Solutions Linux based POP email accounts) you should backup the old email first.

 

This way if you have to  delete the old account with the same name you’ll have a backup copy of the emails if needed.

In Outlook on a Mac

If you only want so export some of your email as you have multiple accounts, you can categorize all of that email and export that category.

In Outlook on a PC

If you want to add the old emails into the new account:

(If you want to keep the old emails separate scroll down for alternate method.)

  • Select File (top left tab)> Open & Export > Import/Export.
  • Select Export to a file, and then select Next.
  • Select Outlook Data File (.pst), and select Next.
  • Select the mail folder that the email you are deleting is coming into. Normally you would select everything in that folder structure.  and select Next.
  • Choose a location and name for your backup file, and then select Finish.

Once the old account is deleted and the new account is added,  you can then add the backup into your email client and have access to all your old emails.

  • Select File (top left tab)> Open & Export > Import/Export
  • Select Import from another program or file, and then click Next.
  • Select Outlook Data File (.pst) and click Next.
  • Find the .pst file you want to import.
  • Under Options, choose how you want to deal with emails and contacts, then choose Next.

If you want to keep the old emails separate.

In Outlook on a PC

  • Select File (top left tab) and choose account settings.
  • Choose the second tab (data files) and find where you are saving your data files. Default is C:\Users\you\AppData\Microsoft\Outlook\
  • Close out of this window and close Outlook.
  • In windows or file explorer, navigate to that folder and make a copy of it. It’s ok to save in the same folder.

Once you’ve deleted and added the account on the new server in if you need to add these emails back follow the instructions above to navigate to the data files tab and add the data file you saved into Outlook. Outlook usually doesn’t delete the emails/files, but as losing all your old emails could be catastrophic, we always take the few minutes to make a copy.
